Attendance Roll-Call

See every booked worker at one site for one day, whether they have arrived, are late, have finished or did not come, plus anyone who clocked in without a booking.

Before You Start

Who can use it.

Before you start

  • Agency console: anyone with the Attendance page can look, including the Coordinator and Read-only presets. Start and Stop need Admin-level access (the Coordinator preset has it; Read-only does not).
  • Client dashboard: a Viewer can look. A Manager or Admin can use Start and Stop.
  • The site needs booked shifts on the Shifts board for the day.

Open a Site's Day

One site, one day.

Agency console: Today > Attendance. Client dashboard: Today > Attendance.

Pick the site

Next to Attendance for, choose the client (agency console only) and the site. The page opens on the first client and its first site.

Pick the day

Click a day on the calendar. Select today jumps back to today. The page refreshes itself while it is open.

Read the roll

Workers are grouped by shift template. Each row shows the Worker, Status, Booked times, Start and Stop. If night shifts from the day before are still running, a Yesterday block shows above today.

Statuses

What each label means.

Status Meaning
Awaiting worker Not clocked in, and the shift starts in more than an hour, or is not yet past the late grace.
Early Clocked in before the booked start, with how early, for example "Early · 12m".
In progress Clocked in and on shift. "In progress, 21m late" means they arrived 21 minutes after the booked start, beyond the client's late grace.
Late Past the late grace with no clock-in, and the shift is still running.
No show The booked shift has ended with no clock-in, or the booking was marked no-show.
Completed Clocked in and out. "Completed, late" if they arrived after the grace.
Sick, AWOL, Swapped, Cancelled Set on the booking.

Unscheduled Clocks and Long-Running Shifts

People you did not expect.

Anyone who clocked in at the site without a booking is listed with an Unscheduled tag. Check whether they should have been booked, or clocked at the wrong site.
Long running shifts: under the calendar lists anyone at the site who has been clocked in for 12 hours or more, with the booked times and the duration so far. They have probably forgotten to clock out.

Start and Stop

Clock someone in or out from the roll.

Start a booked worker

On a booked row with no clock-in, click Start to clock them in now. Use the arrow next to it for Start at booked time to clock them in at the booked start.

Stop a worker

On a row in progress, click Stop and confirm. The worker is clocked out now.

If second approval for corrections is switched on, a Stop by anyone other than a super admin waits on Schedule > Adjustments instead. The worker stays In progress, and this page does not tell you, until someone else approves it.

Note

Start and Stop are manual clocks. They are recorded as Manual with the reason "Supervisor instruction" and a note ("Attendance: started manually", "Attendance: started at booked time" or "From Attendance page"), and written to the audit log. For a time in the past, use Manual Clock In & Out so you can give the real time and reason.

Export and Period Report

Take the roll with you.

Export CSV downloads the day's roll for the site: date, site, worker, employee ID, status, booked start and end, clock in and out, minutes late, and whether the clock was unscheduled. Yesterday's overnight rows come first.
Period report opens the Attendance report for the same site and day, where you can widen the dates. See Attendance & Fulfilment Report.

Limits

Worth knowing.

One site at a time. For every site at once, use Today > Live activity.
A missing worker shows as Late once past the client's grace, but this page does not alert you. For a tone and notification, use the Not clocked in list on Live activity.
Late and no-show use the client's late grace, 10 minutes unless the client sets another.
With second approval for corrections on, a Stop by anyone other than a super admin is only a proposal. The worker stays In progress until someone else approves it on Schedule > Adjustments, and this page shows no message about it.
This page is a roll-call, not a fire register. In an emergency use Today > Fire register.
