Handling Exceptions
Learn how to use the Exceptions page to identify and resolve missing clock-outs, late starts, overtime alerts, and short shifts.

- Permission to view and manage timesheets (Admin or Manager role)
- Active clock-in data from your locations
Checking exceptions should be part of your daily routine. A quick 5-minute review each morning catches problems before they snowball.
What Are Exceptions?
Things that need your attention.
Exceptions are unusual events in your timesheet data that TempClock flags automatically. They are not necessarily errors — they are simply things that look out of the ordinary and may need a human to check.
TempClock monitors for four types of exceptions:
A worker clocked in but never clocked out. Could mean they forgot, or the kiosk was unavailable.
A worker clocked in 15 or more minutes after their scheduled shift start time.
A worker has exceeded 48 hours in the current week. Needs reviewing for compliance.
An entry is less than 2 hours long. Might be a genuine short shift, or an accidental clock-in/out.

Where to find and manage all exceptions.
Navigate to Exceptions
In the sidebar, click Exceptions (sometimes listed under the Timesheets section). This opens a dedicated page showing all active exceptions across your locations.
Review the exception cards
The page shows summary cards at the top with the count of each exception type, and a table below listing every individual exception. Each row tells you the worker, location, date, and what the problem is.
Missing Clock-Outs
When a worker clocked in but never clocked out.
This is the most common exception. It happens when a worker clocks in at the kiosk but forgets to clock out, or the kiosk was unavailable when they left. The entry will show an open-ended clock-in with no clock-out time.
Find the missing clock-out
Click on the exception in the list. TempClock will take you directly to the relevant timesheet entry, which will show Active or Missing in the clock-out column.
Add the clock-out time
Click Edit Entry and enter the correct clock-out time. Check with the worker, their supervisor, or CCTV if you are not sure what time they actually left.
Add a note
Enter a reason for the change, such as “Worker forgot to clock out — supervisor confirmed left at 17:00”.
Save the changes
Click Save Changes. The exception will be resolved automatically once the entry has a valid clock-out time.
If a worker has been “clocked in” for more than 16 hours, TempClock will flag it as a missing clock-out automatically. Check these daily to keep your records clean.
Late Starts
When a worker clocked in 15 or more minutes late.
A late start exception is raised when a worker clocks in 15 or more minutes after their scheduled shift start time. This helps you spot attendance problems early.
When you see a late start, you have a few options:
Late start exceptions are based on the worker's scheduled shift start time. If you have not set up shift schedules, this exception type will not appear.
Overtime Alerts
When a worker exceeds 48 hours in a week.
TempClock raises an overtime alert when a worker's total hours for the current week exceed 48 hours. This is based on the UK Working Time Regulations, which set 48 hours as the maximum average working week.
When you see an overtime alert:
Overtime alerts are separate from overtime pay rates. The alert is about working time compliance. Overtime pay thresholds are configured in Rate Rules and can have different limits (e.g. overtime pay after 40 hours). See the Overtime Rates guide for pay setup.
Short Shifts
When an entry is under 2 hours.
A short shift exception is flagged when a time entry totals less than 2 hours. While short shifts can be legitimate, they often point to a mistake — such as a worker accidentally clocking in and then immediately clocking out.

Resolving and Dismissing Exceptions
How to clear exceptions from the list.
Each exception has two action buttons:
Takes you to the relevant entry so you can fix the issue (edit times, add clock-out, etc.). The exception clears automatically once the underlying problem is fixed.
Removes the exception from the list without making any changes. Use this when the exception is expected or acceptable (e.g. approved overtime, genuine short shift).
Dismissed exceptions are not deleted — they are just hidden from the active list. You can always view dismissed exceptions by toggling the Show Dismissed filter at the top of the page.
Make it a habit to review the Exceptions page every morning. A clean exceptions list means your timesheet data is reliable and ready for payroll.
