Paper Backfill
When a kiosk could not be used, key the paper sign-in sheet into TempClock with a reason, checked row by row, so the hours reach payroll with a full audit trail.
Overview
Paper as a safety net, not a gap.
If a kiosk is down or the connection is lost, the kiosk tells workers to use the paper sign-in sheet. Afterwards, a supervisor or coordinator keys the sheet in on the Backfill page. Every row is checked before anything is saved, and the whole sheet is saved together or not at all.
Print a Sign-in Sheet
Keep one at each site.
On Time & Pay > Backfill, choose the Client, Site and dates, click Load bookings, then Print sheet. The sheet is pre-filled with the day's bookings and has columns for time in, break, time out and signature, plus a roll call column: while the kiosk is not in use it is the list of who is on site, so take it to the assembly point in a fire alarm.
Key In the Sheet
Three ways to fill the grid.
Then give a Reason and describe What happened (for example "kiosk offline 06:00 to 09:30, Wi-Fi fault"). Both are required.
Check and Save
Nothing is saved until every row is right.
Click Check rows. TempClock checks each badge number, the times (including shifts that cross midnight), overlaps with shifts already recorded, the maximum shift length and locked payroll periods, and shows any problem on its row. When the rows are clean, click Save entries.
After Saving
Pending until approved.
