What your clients see in the portal reporting area — including spend at charge rates, fire register, and occupancy data.
The Portal Dashboard
A summary of what the client sees when they first log in.
When a portal user logs in, they land on a dashboard that gives them a quick snapshot of their workforce. It is simpler than the full manage portal dashboard and shows only data relevant to their locations.
The portal dashboard cards show:
The number of workers assigned to the client's locations (not your entire workforce)
How many of those workers are currently on-site, updated in real-time
Total hours worked so far today by all workers at the client's locations
The portal dashboard is a great tool for client meetings. If a client asks "how many people do we have on-site right now?", they can check it themselves without having to call you.
Spend Reports (Charge Rates Only)
How clients see their costs — without seeing your pay rates or margins.
The portal includes a Spend report that shows the client how much they are spending on temporary labour. This is one of the most important sections to understand because of what it shows and what it deliberately hides.

Here is the critical difference between what the client sees and what your manage portal shows:
The rate the client pays per hour for each worker (e.g. £15.50/hr). This is what they expect to see.
What you actually pay the worker (e.g. £11.44/hr). This is never shown in the portal.
The difference between charge and pay rates. Your profit is completely hidden from clients.
A client can only see their own spend, never data from other clients using your agency.
The "Rate" column in the portal spend report always shows the charge rate. There is no way for a portal user to see pay rates, even by accident. This is hard-coded into the system for your protection.
Fire Register
Real-time on-site headcount for health and safety.
The Fire Register gives the client a real-time list of everyone currently on-site at each of their locations. This is critical for health and safety — in the event of an emergency, the fire register tells you exactly who is in the building.

The fire register is one of the most valued features by clients. Many use it as their official record of who is on-site, which satisfies their health and safety obligations.
Occupancy
Current headcount versus site capacity.
The Occupancy view shows how full each location is right now, compared to its maximum capacity. This helps clients manage space and ensure they are not over-crowding their sites.
The occupancy display uses colour coding to indicate capacity levels:
Plenty of space available. The site is well within capacity.
Getting busy. The site is approaching its capacity limit.
Near or at capacity. Consider whether additional workers should be redirected to other sites.
Occupancy capacity limits are set per location in the manage portal under Settings > Locations. If a location's capacity is not set, the occupancy bar will not appear for that site.
General Reports in the Portal
Hours, headcount, and averages from the client perspective.
Portal users also have access to general reports similar to the ones in the manage portal, but filtered to their own locations. Available reports include:
Clients can filter these reports by date range, worker, and location, and export them as CSV files for their own records.
Portal reports are a great self-service tool for clients. Instead of asking you for a weekly hours report, they can generate it themselves at any time. This saves both you and the client time.
Privacy Protection

The portal has multiple layers of protection built in to ensure your sensitive business data is never exposed to clients. Here is a summary of everything that is protected:
Never shown. Clients only see charge rates (what they pay you).
Never shown. The portal has no margin column, percentage, or calculation.
Completely isolated. Portal users can only see data for their assigned locations.
Phone numbers, emails, and addresses are hidden. Clients see names only.
No access to settings, billing, user management, or system configuration.
Clients cannot see or modify the shift calendar.
These protections are built into the system at the code level. They are not settings that can be accidentally changed. Even if a portal user tries to access a restricted page directly, they will be blocked.
