The Charge Schedule

The charge schedule turns approved, chargeable hours into an invoice-ready schedule per client and site, with CSV, PDF, Sage 50 Accounts and Xero invoice files.

Overview

What you bill, from the same figures as payroll.

The charge schedule shows the hours you can bill for a client and period, split by site, worker, role, cost code and pay element, with the charge rate and amount on each line. Charges come from the same pricing engine as pay. Once a pay week is closed, the schedule uses the frozen figures from that week.

Open It

Agency console, client dashboard or Close week.

Go to Charge schedule

Agency console: Reports > Charge schedule. Client dashboard: Reports > Charge schedule. Or click Open the charge schedule in step 5 of Close week.

Pick what to bill

Choose the Client, a Site (or all sites) and the Period: a pay week, or a custom From and To. Add a PO reference if the client needs one.

Choose what to include

Approved shifts only and Leave out open queries keep the schedule to hours that are ready to bill. Tick Add VAT at to show VAT. Click Show.

Reading It

Totals first, then the detail.

The header shows the net charge, billable hours, sites, shifts and workers, and a schedule reference (for example CS21-20260921).
Each site has its own table: worker, role, cost code, element, shifts, hours, charge rate and amount, with the site's billing name.
By pay element totals the basic, overtime, weekend, night and bank holiday lines.
Not on this schedule lists shifts that will join once they are approved and any query is closed.

Sage 50 CSV For Sage 50 Accounts: File > Import > Audit Trail Transactions. One sales invoice (SI) row per site and pay element.
Xero CSV For Xero: Business > Invoices > Import. One draft invoice per site, one line per worker and pay element.

Sage Accounting (cloud) connects through its API instead of a file; a send button on this screen is being added. See Sending Invoices to Sage Accounting.

Site Billing Details

Set once per site.

On the Locations page, each site can hold a billing name, contact, email, PO reference, Sage account, department and nominal code. The charge schedule and the invoice files use them.

Client Portal

Clients can download their own.

Portal users with permission to see charges (the Approver role) can open Charge schedule in their portal for the sites they are allowed to see, and download the CSV or PDF. Pay rates are never shown in the portal.
