Worker App and Phone Clock-in

An optional self-service app for workers: shifts, confirmations, offers, availability, time off and hours on their own phone, with phone clock-in as a separate option that is off by default.

Overview

Optional, per client.

The worker app runs in the phone's browser and can be added to the home screen. There is nothing to download from an app store. Workers sign in with a one-time link, not a password. It is switched on per client, and phone clock-in is a second, separate switch.

Switching It On

Open Worker app settings

Open a worker and click Worker app settings (or go to /admin/worker_app.php). Choose the client.

Choose what to allow

Switch on Worker app for self-service. Switch on Phone clock-in only if you want workers to clock in from their own phone; it stays off otherwise. The page shows how many workers use the app and how many are ready for phone clock-in.

Important

Phone clock-in is refused at any site with no map position. Set the site's position and radius on the Locations page first.

Getting Workers In

A one-time link.

Open the worker and click Send app link. It goes by text (when texts are on for the client) or email.
The link works once and lasts 7 days. Tapping Sign in keeps the worker signed in on that phone for 30 days.
The message also has a 6-digit code for signing in from the home-screen app.
Workers can ask for a new link on the sign-in page with their badge number and the mobile or email you hold. It only goes to those details.

What Workers Can Do

In their own language.

Home and My shifts Upcoming shifts, with confirm and decline.
Offers Open shifts offered to them; accept to be booked if the place is still free.
Availability Their weekly pattern and dates they cannot work.
Time off Request holiday or other absence for approval.
My hours Hours worked and their approval status.
My details Contact details and text and email preferences.
Clock Phone clock-in, only if it is switched on.

The app is available in English, Polish, Romanian and Lithuanian, chosen from Language.

Phone Clock-in

Stricter than the kiosk.

Only for a booked shift (from 3 hours before the start), at that site. Clock-out uses the open shift's site.
GPS is required and the geofence is strict: outside the site's radius is refused, and so is a reading less accurate than 250 metres.
The worker must have agreed to face clock-in and be enrolled. Their face must match their own enrolment on the first and last of three photos taken while they follow a prompt. This is a basic anti-photo check, not certified liveness.
Only one registered phone per worker. Another phone needs a fresh link.
Entries are recorded as mobile clocks with flags such as a new device or low GPS, and a selfie is kept with the entry, like a PIN clock photo, for review.

Lost Phones

Cut access in one click.

On the worker's page, use Sign out everywhere: their sessions end and unused links stop working, so they need a new link to sign in again. Use Reset clock-in phone to forget the phone registered for phone clock-in.
