Learn how to find, edit, and manage your workers on an ongoing basis — from updating details to changing locations and viewing timesheet history.
Finding Workers
Search, filter, and browse your worker list
Before you start
- Access to the TempClock manage portal
- At least one worker in the system
As your worker list grows, you'll need quick ways to find the right person. TempClock gives you a few tools to help:
Use the search bar
At the top of the Workers page, you'll see a search bar. Type any part of a worker's name, Employee ID, or email address and the list will filter in real time as you type.
Example: Typing "sarah" will show all workers with "sarah" in their name.
Filter by status
Use the status filter buttons to show only workers with a specific status:
- All — Shows every worker regardless of status
- Active — Workers who can currently clock in
- Inactive — Workers who have been deactivated
- Pending — Workers awaiting approval
Filter by location
If you manage workers across multiple sites, use the location filter to show only workers assigned to a specific location. This is useful when you need to see who's set up at a particular site.

The search bar is the quickest way to find someone. It searches across names, Employee IDs, and email addresses all at once, so you don't need to remember which field to search.
Editing Worker Details
Update a worker's information
Worker details can change over time — maybe someone gets a new phone number, changes role, or their hourly rate is updated. Here's how to edit a worker's information:
Click the worker's name
On the Workers page, click on the worker's name to open their full profile. You'll see all their current details laid out.
Click "Edit"
Click the Edit button on their profile page. This switches the profile into edit mode where all fields become editable.
Update the fields you need to change
You can change any of the following fields:
- Full Name — If their name was entered incorrectly or has changed
- Email — Update their contact email
- Phone — Update their phone number
- Job Role — Change their role or job title
- Hourly Rate — Update what you pay them per hour
- Charge Rate — Update what you bill the client per hour
Save your changes
Click the Save button to apply the changes. The updated details take effect immediately.
Edit Worker
The Employee ID cannot be changed after the worker has been created. This is because it's linked to their clock-in history and face profile. If you need to change an Employee ID, you'll need to create a new worker record.
Changes to the hourly rate and charge rate only affect future clock-ins. Existing timesheet records will keep the rates that were in effect at the time they were recorded.
Changing Worker Status (Active / Inactive)
Deactivate or reactivate a worker
Every worker has a status that controls whether they can clock in. You can toggle a worker between Active and Inactive directly from the Workers list.
Find the worker in the list
Go to the Workers page and find the worker whose status you want to change. You can use the search bar or filters to locate them quickly.
Click the status toggle
On the right side of each worker's row, you'll see a toggle switch. When it's green, the worker is Active. Click the toggle to switch them to Inactive, or click it again to reactivate them.
What does Inactive mean?
When a worker is set to Inactive:
Use Inactive for workers who have finished a temporary placement, gone on extended leave, or moved to a different client. Don't delete workers unless you're sure you'll never need their historical data.
When you deactivate a worker, it happens immediately. If they're currently on shift (clocked in but not yet clocked out), you may want to wait until they've clocked out for the day before changing their status.
Changing a Worker's Location Assignment
Move a worker to a different site
If a worker is moving to a different client site, you'll need to update their location assignment so they appear on the correct kiosk.
Open the worker's profile
Click the worker's name on the Workers page to view their profile.
Click "Edit"
Click the Edit button to enter edit mode.
Change the Location dropdown
Find the Location field and select the new location from the dropdown. This should be the client site where the worker will be based going forward.
Save the changes
Click Save. The worker will now appear on the kiosk at their new location and will no longer be listed on the kiosk at their old location.
If a worker splits their time between two locations, you'll need to assign them to their primary location. They can only be assigned to one location at a time. Speak to your TempClock account manager if you need multi-location support.
Viewing a Worker's Timesheet History
See all past clock-ins for a specific worker
You can view the full timesheet history for any worker directly from their profile. This is useful for checking attendance, reviewing hours, or resolving disputes.
Open the worker's profile
Click the worker's name on the Workers page.
View their timesheet section
On the worker's profile page, scroll down to the Timesheet History section. This shows a list of their recent clock-in and clock-out records, including:
- Date and day of the week
- Clock-in time
- Clock-out time
- Total hours worked
- Whether they used facial recognition or PIN
Filter by date range
Use the date range picker to narrow down the records to a specific week, month, or custom period. This is helpful when you need to check a particular pay period or investigate a specific date.
