Confirmations and Cover Offers

How workers are told about their shifts, how they confirm or decline, and how to offer an open or no-show shift to other workers so the first to reply YES is booked.

Overview

From booking to a filled gap.

When you publish, change or cancel shifts, TempClock tells each worker by email (included) or text (with the SMS add-on). Each message carries a short code so the worker can confirm or decline. When someone does not turn up, or a shift is still open, you can offer it to other eligible workers and the first valid YES gets it.

Telling Workers

Email, text, or both.

Email notifications are switched on per client in the client's settings. Texts need the SMS add-on and the client's own SMS switch.
A worker only gets texts if they have opted in and have a valid UK mobile number, and only gets emails if they have an email address and have not opted out.
Messages are queued and sent within a minute, as one digest per worker, in the worker's own language (English, Polish, Romanian or Lithuanian).
An optional reminder goes a set number of hours before each shift, set per client.

Confirmations

Know who is coming.

On Schedule > Shifts, each booking shows whether the worker has confirmed. A requirement shows "x of y confirmed", and bookings that are published but not confirmed are marked. Workers confirm by replying to the text or email, or in the worker app. If a worker rings instead, use Mark confirmed or Mark declined on the booking. A decline frees the place so you can fill it.

No-shows

Found as the shift starts, nights included.

The live view has a no-show panel listing everyone booked right now who is past the site's late grace (10 minutes by default, set per client) with no clock-in, including night shifts after midnight. A new no-show plays a tone and appears in the page title. You can mark the booking as No-show, AWOL or Sick. Email alerts can be added as an automation rule.

Offering Cover

From the no-show panel or any open requirement.

Click Find cover

On a no-show in the live view, or on any requirement with open places on the shifts board, click Find cover. You see eligible workers, best first, with anyone blocked by a clash, absence or restriction left out.

Pick workers and send

Tick the workers to ask, choose how long the offer stays open, and click Offer to selected.

The first YES is booked

The first worker to reply YES is booked on the same requirement and linked to the absent worker's booking, so they are not flagged as late. Everyone else who replies is told it has been filled. You get a bell notification and an email.

Note

If the absent worker clocks in before anyone accepts, the offer does not book anyone.

Replies are matched only to the sender's own bookings, so a worker who has been swapped off a shift cannot confirm or cancel someone else's. Workers without texts accept offers from the link in their email or in the worker app.

Messages Sent

Every message, and every skip.

Schedule > Messages sent (the comms log) lists every text and email queued, sent, skipped or failed, with the reason for a skip (for example no consent, no mobile, or texts off for the client), and the replies that came back.
