Occupancy Monitoring
Monitor how many people are on site at each location compared to its maximum capacity, helping you stay within safe limits.
What Does Occupancy Monitoring Show?
Live headcount vs your capacity limits.
The Occupancy page gives you a real-time view of how full each of your locations is. For every site, you can see the current number of people on site, the maximum capacity you have set, and a percentage showing how much of that capacity is being used.
This is especially useful for health and safety compliance, where you may need to prove that you are not exceeding safe occupancy levels at any of your sites.

In the left-hand sidebar, under the Safety section, click Occupancy. You will see a card for each of your active locations.
Reading the Display
Each location is shown as a card with key numbers.
The Occupancy page displays one card per location. Each card shows the location name, current headcount, capacity limit, and a visual progress bar showing how full the site is. Here is what a typical view looks like:
Colour Coding
Instantly see which sites need attention.
The progress bar and percentage badge are colour-coded to give you an instant visual indicator of how close each site is to its capacity. The three levels are:
The site is well within capacity. No action needed. There is plenty of room for more people.
The site is filling up. Keep an eye on it. You may want to limit new arrivals or plan ahead.
The site is close to or at capacity. Take immediate action to avoid exceeding safe limits.
If a location regularly shows amber or red, it may be worth reviewing the capacity limit to make sure it is set correctly, or consider staggering shift start times.
Historical Occupancy Trends
See how occupancy changes over time.
Below each location card, you can expand a Trends section to see how occupancy has changed over the past days and weeks. This helps you spot patterns, such as which days are busiest or whether occupancy is gradually increasing over time.
The trend chart shows the peak occupancy for each day, making it easy to identify your busiest periods and plan staffing or capacity adjustments accordingly.
Use the trend data to plan shift patterns. If Thursdays are always near capacity, you might spread workers across other days or adjust shift start times.
Setting a Location's Capacity
Where to configure the maximum headcount for each site.
The capacity number shown on the Occupancy page comes from your location settings. To change a location's capacity:
Go to Settings
Click Settings in the sidebar, then click Locations.
Edit the location
Find the location you want to update and click Edit.
Update the capacity field
Change the Capacity field to the correct maximum number of people allowed on site. This should reflect your fire risk assessment or building regulations.
Save your changes
Click Save. The Occupancy page will immediately reflect the new capacity.
Not sure what capacity to set? Check your building's fire risk assessment or ask your facilities manager. The capacity should be the maximum number of people allowed on site at any one time.
Health & Safety Compliance
How occupancy monitoring helps you stay compliant.
Many workplaces are legally required to monitor occupancy levels to comply with fire safety regulations and health and safety legislation. TempClock's Occupancy Monitoring helps you meet these requirements by:
Keep your capacity figures up to date. If building layouts change or regulations are updated, adjust the capacity in your location settings straight away.
