Managing Locations

Add, edit, and manage the physical locations where your workers clock in and out.

Overview

What are locations in TempClock?

A location in TempClock represents a physical site where workers clock in and out. This might be a warehouse, an office, a construction site, or any other workplace. Each location has its own address, capacity limit, and dedicated kiosk URL.

There is no limit on the number of locations you can manage. Workers are assigned to locations, and each location runs its own independent kiosk for clock-in and clock-out.

Open the manage portal

Log in to TempClock and go to the manage portal.

Click Settings in the sidebar

In the left-hand sidebar, click Settings. This expands the settings submenu.

Click Locations

Under Settings, click Locations. You will see a list of all your current locations with their name, address, and status.

Adding a New Location

Fill in the details for a new site.

Click "Add Location"

At the top of the Locations page, click the orange + Add Location button. A form will appear for you to fill in.

Enter the location name

Give the location a clear, recognisable name. This is what workers and managers will see throughout TempClock.

Example: Acme Warehouse or Distribution Centre - Leeds

Enter the address

Fill in the full address for the location:

  • Address Line 1 — street address (e.g. 14 Temple Row)
  • Address Line 2 — building name, floor, or unit (optional)
  • City — the town or city (e.g. Birmingham)
  • Postcode — the UK postcode (e.g. B2 5JH)

Set the capacity

Enter the maximum number of people allowed on site at any one time. This number is used by Occupancy Monitoring and the Fire Register to track how full the site is.

Click Save

Click Save to create the location. It will appear in your locations list and be ready for workers and a kiosk.

Tip

Choose a location name that is instantly recognisable to your team. If you have multiple sites for the same client, include the city or a short description (e.g. "Acme - Birmingham" vs "Acme - Leeds").

What Is Capacity For?

How the capacity number is used throughout TempClock.

The capacity you set for each location is used in two key areas of TempClock:

Occupancy Monitoring

The live occupancy page shows the current headcount as a percentage of capacity, with colour-coded warnings

Fire Register

The headcount is shown alongside the total capacity so you can see at a glance how full the site is

Note

Set the capacity to match your building's fire risk assessment or the maximum number of people allowed by your landlord or local authority. If you are not sure, check with your facilities manager.

Editing an Existing Location

Update the name, address, or capacity at any time.

Go to Settings > Locations

Navigate to the Locations page as described above.

Click Edit next to the location

Find the location you want to change and click the Edit link on the right side of its row.

Update the fields

Make your changes to any of the fields — name, address, or capacity. All fields are editable.

Click Save

Click Save to apply your changes. They will take effect immediately across the system, including on the kiosk, reports, and occupancy monitoring.

Note

Changing a location name will update it everywhere in TempClock, including on existing timesheets and reports. Previous entries will show the new name.

Assigning Workers to a Location

Workers need a location before they can clock in.

Every worker in TempClock needs to be assigned to at least one location. This controls which kiosk they can clock in at — a worker will only appear on the kiosk for their assigned location.

You assign a location when you add a worker, but you can change it at any time by editing the worker's profile.

Go to the Workers page

Click Workers in the sidebar to see your full list of workers.

Edit the worker

Click on the worker you want to assign (or reassign) to a location. Their profile will open.

Change their location

In the Location dropdown, select the site where this worker should be based. Click Save to apply.

Good to know

If a worker moves between sites regularly, you can reassign them as needed. Their timesheet history is kept regardless of which location they are currently assigned to.

Each Location Gets Its Own Kiosk URL

How kiosks are linked to locations.

When you create a location, TempClock generates a unique kiosk URL for that site. This URL is what you open on the tablet or computer at the location to run the clock-in kiosk.

You can find the kiosk URL by going to Settings > Kiosk Setup and selecting the location. The URL is unique to each site, so clock-ins are automatically tagged with the correct location.

Open this URL in a browser on your kiosk device. Bookmark it for easy access.
Tip

Bookmark the kiosk URL on your tablet and set the browser to open it automatically when the device starts up. This way, the kiosk is always ready for workers without any manual setup.

Deactivating a Location

What to do when you no longer use a site.

If you no longer need a location (for example, a contract has ended or a site has closed), you can deactivate it rather than deleting it. Deactivating keeps all the historical data (timesheets, reports, audit trail) but removes the location from active use.

Go to Settings > Locations

Navigate to the Locations page.

Click Edit on the location

Find the location you want to deactivate and click Edit.

Click Deactivate

At the bottom of the edit form, click Deactivate Location. You will be asked to confirm.

Confirm deactivation

Click Yes, Deactivate to confirm. The location will be marked as inactive and will no longer appear in active location lists, kiosk setup, or occupancy monitoring.

Historical timesheets and reports for the location are kept
The kiosk URL for the location will stop working
Workers assigned to the location will need to be reassigned
Inactive locations are not billed
You can reactivate a location at any time
Good to know

Deactivating a location does not delete any data. You can always view historical timesheets and reports for inactive locations. If you need the location again later, you can reactivate it.
