General & Spend Reports

Run reports on hours worked, daily headcount, and costs broken down by worker, location, job role, or cost code.

Before You Start

What you need to get the most from your reports.

Before you start

  • Workers with timesheet data (they need to have clocked in and out at least once)
  • Hourly rates and charge rates set for your workers (needed for spend reports)
  • Access to the manage portal with a Manager or Admin role
Note

Reports pull data from your timesheets. The more timesheet data you have, the more useful your reports will be. If you have just started using TempClock, give it a week or two to build up enough data for meaningful insights.

General Reports

Hours worked, daily headcount, and average shift duration.

Navigate to Reports

Click Reports in the sidebar, then select General Reports. This opens the general reporting dashboard.

Choose a report type

The General Reports section has three main report types:

  • Hours per Worker — total hours worked by each worker in the selected period
  • Daily Headcount — how many workers were on-site each day
  • Average Shift Duration — the average length of shifts across your workforce

The Hours per Worker report is the one most agencies use day-to-day. It gives you a quick breakdown of how many hours each worker has logged, which is useful for payroll checks and client billing.

Filtering & Date Periods

Narrow down reports to exactly what you need.

All reports can be filtered by time period and by other criteria such as location or worker. This makes it easy to focus on just the data you need.

Date period presets

Today

Shows data for the current day only

This Week

Monday of the current week through to today

This Month

1st of the current month through to today

Custom Range

Pick any start and end date to cover any period you like

Additional filters

Depending on the report, you may also see filters for:

Location — show data for a specific site or all sites
Worker — show data for a single worker
Job Role — filter by role (e.g. "Warehouse Operative" only)
Cost Code — filter by cost code if your locations use them
Note

Filters work together. For example, you can show "Hours per Worker at Acme Warehouse for This Month" by selecting the location and time period at the same time.

Spend Reports

See costs broken down by worker, location, job role, or cost code.

Spend reports show you how much you are spending on labour across your operation. They use the hourly rates (what you pay workers) and charge rates (what you bill clients) to calculate costs, revenue, and margin.

Navigate to Reports > Spend Reports

Click Reports in the sidebar, then select Spend Reports. This opens the spend reporting dashboard.

Choose a breakdown

You can view spend data broken down by:

  • By Worker — see how much each worker costs and generates
  • By Location — see total spend per client site
  • By Job Role — compare costs across different roles
  • By Cost Code — see spend against specific cost codes

Read the results

The report shows a table with columns for hours worked, pay cost, charge revenue, and margin. The margin is calculated automatically as the difference between charge and pay.

Important

Spend reports are only available when your workers have hourly rates and charge rates set up. If some workers are missing rates, their hours will still appear but the cost columns will show as zero.

Both General Reports and Spend Reports include charts that show your data visually over time. Charts make it easy to spot trends, seasonal patterns, and unusual changes.

Bar charts

Used for comparing values side by side, such as hours per worker or spend per location

Line charts

Used for showing trends over time, such as daily headcount across a month

Period comparison

Some charts let you overlay the current period with the previous one to see if things are going up or down

Exporting Report Data

Download your reports as CSV files for use in spreadsheets.

Every report in TempClock can be exported as a CSV file, which you can open in Excel, Google Sheets, or any spreadsheet application.

Run your report

Set up the report you want to export — choose the report type, date range, and any filters you need.

Click "Export CSV"

Click the Export CSV button in the top-right corner of the report. The file will download to your computer immediately.

Open in a spreadsheet

Open the downloaded CSV file in Excel or Google Sheets. The data includes all the columns shown in the report, ready for further analysis or sharing.

Good to know

CSV exports include all the data in the report, not just what is visible on screen. If the report has 200 workers, the CSV will include all 200, even if the on-screen table is paginated.
