Worker Availability

Record when each worker can work (weekly patterns, rolling patterns and unavailable dates) so the shift picker and Find cover offer the right people.

Overview

Who can work each day.

Availability is held per worker as a weekly pattern (for example Monday to Friday, 06:00 to 14:00), a rolling pattern (for example 4 on, 4 off) and unavailable dates with a reason. The shift picker, Find cover and cover offers all read the same data, together with approved absences and any do-not-return or suspension restrictions.

Open Availability

Agency console: Workforce > Availability. Client dashboard: Workforce > Availability.

Filter

Choose the Client, a Site, the start date and 7, 14 or 28 Days. Use Search to find a worker and Available at least once to hide people who cannot work in the period.

Read the key

Each day shows whether the worker is inside their pattern, has a pattern but not that day, has no pattern on file, is marked unavailable, has an approved absence, or is restricted (do-not-return or suspended).

Editing a Pattern

Click a worker.

Weekly pattern: tick the days and set start and end times (leave them blank for all day), then Save weekly pattern.
Rolling pattern: for shift rotas such as 4 on, 4 off, set the first on day and the on and off days.
Unavailable dates: add a date range and a reason, for example a holiday or college days.
Max hours per week: the picker warns before a booking takes the worker over it.

Importing from CSV

For many workers at once.

Under Import availability (CSV), download the template. Each row is one pattern with the columns badge, type (weekly, rolling or exception), days (for example Mon-Fri), start, end, on_days, off_days, from, to and reason. Weekly rows replace that worker's weekly pattern. Click Check file to see any problems row by row, then Import.

If the worker app is switched on for the client, workers can set their weekly availability and add dates they cannot work from their phone. What they set shows on the same grid.

The optional AI rota planner only ever sees "restricted" or "unavailable" for a day, never the reason.
