Editing Time Entries

Learn when and how to edit clock-in and clock-out times, add notes explaining changes, and understand how edits are tracked in the audit trail.

Before You Start

What you need to edit a time entry.

Before you start

  • Access to the TempClock manage portal (/manage)
  • Permission to edit timesheets (Admin or Manager role)
  • The correct clock-in or clock-out time to enter
Important

Only Pending and Disputed entries can be edited. Once an entry has been Approved, it is locked. If you need to change an approved entry, you must first un-approve it.

When Should You Edit an Entry?

Common situations where editing is needed.

Most of the time, timesheet entries are accurate because they are recorded automatically by the kiosk. However, there are a few situations where you may need to manually adjust an entry:

Wrong clock-in time — a worker clocked in early by accident (e.g. they were just testing the kiosk)
Wrong clock-out time — a worker forgot to clock out and was signed out by the system at midnight
Forgot to clock out — the entry shows no clock-out time and needs one added
Incorrect duration — the worker took an unpaid break but the clock kept running
Disputed entry — a client has flagged an issue and you need to correct the times
Tip

Always check with the worker or their supervisor before changing times. Accurate records protect everyone.

Opening the Entry

Find and open the time entry you want to edit.

Navigate to Timesheets

In the sidebar, click Timesheets to open the timesheets list. Use the filters (date range, worker, location) to narrow down the list and find the entry you need to edit.

Click on the entry

Click anywhere on the row to open the entry detail panel. You will see the full breakdown of the entry including the clock-in time, clock-out time, duration, and current status.

Click the Edit button

In the detail panel, click the Edit Entry button. The clock-in and clock-out time fields will become editable.

Changing Clock-In or Clock-Out Times

How to adjust the times on an entry.

Edit the clock-in time

Click on the Clock In field and type the correct time. Use 24-hour format (e.g. 08:00 for 8am, 14:30 for 2:30pm). The system will automatically recalculate the duration once you save.

Edit the clock-out time

Click on the Clock Out field and enter the correct time. If the worker forgot to clock out and there is no time in this field, simply type in the actual time they finished.

Note

You cannot set a clock-out time that is earlier than the clock-in time. If you need to record an overnight shift, the system handles this automatically — just enter the correct clock-out time on the following day.

Adding a Note

Always explain why you changed an entry.

Write a reason for the change

Below the time fields you will see a Reason for change text box. Type a brief explanation of why the entry is being edited. This is important because it creates a clear record of what happened and why.

Good examples:

  • “Worker confirmed actual finish time was 16:30”
  • “Kiosk was offline — supervisor verified start time as 07:00”
  • “Worker forgot to clock out — checked CCTV, left at 17:15”
Important

Notes are visible to anyone who reviews the entry, including clients on the portal. Keep them professional and factual.

Saving Your Changes

Confirm and apply the edit.

Click "Save Changes"

Once you are happy with the new times and have added a note, click the orange Save Changes button. The entry will be updated immediately.

You will see:

  • The duration automatically recalculated based on the new times
  • The status remains as it was (editing does not change the approval status)
  • A new line added to the audit trail
Note

If you change your mind, click Cancel to discard your edits and return to the original entry. Nothing will be saved.

The Audit Trail

Every edit is recorded so you always have a clear history.

TempClock keeps a complete audit trail for every time entry. Whenever an entry is edited, the system records:

Who made the change (the logged-in user)
When the change was made (date and time)
What was changed (old value and new value)
Why it was changed (the note you entered)

You can view the full audit trail by scrolling to the bottom of the entry detail panel. It shows every change in chronological order.

Good to know

The audit trail cannot be edited or deleted. This protects the integrity of your records and gives clients confidence in the data.
