Pilot KPIs and Paper Variance
Measure a pilot against your paper process: no-show cover time, missing clock-outs, corrections, late approvals, disputes, payroll re-runs, kiosk uptime and cost, plus a line-by-line paper versus TempClock hours comparison.
Overview
Evidence that the pilot works.
Two agency console pages support a pilot with paper running alongside. Pilot KPIs (under Today) measures the pilot sites against the baseline you recorded from the paper process. Paper variance (under Time & Pay) compares the hours on the paper sheets with the hours TempClock would pay for the same worker and day.
Marking Sites Live
Only live sites count.
On Sites > Locations, untick Site is live while a pilot site is being set up; the kiosk shows a "set-up mode" strip until it goes live. Tick it on the go-live day. The pilot measures only include live sites.
The no-show measures need the no-show detector job running every 5 minutes. The Pilot KPIs page shows when it last ran.
The Paper Baseline
What you are comparing against.
Under Paper baseline, upload the figures you measured before the pilot as a CSV with a header row: metric, value, client, site, note (client and site are optional; a site figure beats a client figure, which beats an agency-wide one). Metric names lists the names to use. Click Upload baseline.
The Measures
Pick a period and client, then Apply.
| Measure | What it shows |
|---|---|
| No-shows: detect to cover | Booked workers not in by the start plus the late grace, and minutes from detection to cover being booked. |
| Missing clock-outs | Shifts closed by the auto clock-out rule, closed by staff, or still open past the booked end (overnight-aware). |
| Corrections by reason | Edits, manual clock-outs, deletions and paper backfill by reason code, per week. |
| Late approvals | Shifts approved after the pay-week cut-off, or still not approved when it passed. |
| Client disputes | Queries raised by the client and how long they took to resolve, and shifts the client rejected. |
| Sage exports and corrections after export | Payroll exports per pay week and corrections made after the first export (each one means payroll had to be adjusted). |
| Peak clocks and clock time | The busiest 15 minutes each week, per kiosk and site, and badge-to-confirmation time (p50 and p90 seconds). |
| Kiosk uptime | Share of 5-minute checks in which each commissioned kiosk was heard from. |
| Cost per active worker | An estimate of TempClock cost per week per worker who clocked at the site, from the billing settings. Not an invoice. |
Each section has Download CSV for your pilot report.
Paper Variance
Paper hours against TempClock hours.
Upload the paper sheets
Type each week's paper sheets into a CSV with a header row: employee_id, date, in, out, break, hours. Give hours, or in and out (a night shift's out is the next morning). Break is in minutes. Dates as YYYY-MM-DD or DD/MM/YYYY. Upload it under Upload paper timesheets. Uploading the same worker and day again replaces the earlier line.
Pick the comparison
Choose the Client, Site, dates, which Upload to use and a Tolerance in minutes (for example 15), then Apply.
Explain the differences
The cards show paper hours, TempClock paid hours, the net and total difference, and how many lines are within tolerance. By day and By worker list the days to check. Unknown badges are counted so they can be fixed. Download CSV gives the full comparison.
A Weekly Routine
During parallel running.
Know who turned up, and pay every hour right.
Face-verified clock-ins, live geofencing and payroll-ready timesheets in one system. Tell us how your shifts run and we will show you how it fits.
