01Scheduled vs actual

The rota is not a dead-end document

In most tools, the rota is a separate planning artefact you compare to reality by hand. Here, a published shift is the expected clock-in — so actual time reconciles against the plan automatically.

  • A late clock-in is measured against the shift start, not a guess.
  • A no-show is detected the moment the start time passes with no clock-in.
  • Unplanned hours stand out against the planned baseline.

Emma Wilson 06:00 No-show

Reconciled against the published rota — the same record that flows to the timesheet.

02Build a week

A week of cover in minutes, not an afternoon

Templates do the repetitive work. Define your shift patterns once and reuse them every week, across every site.

01

Define shift templates

Set up Early, Late, Night or any pattern once, with start, end and break built in.

02

Drop them onto the grid

Assign shifts to workers by dragging a template onto the day, or copy a whole week forward.

03

Gaps are flagged

Uncovered shifts are surfaced before you publish, so a hole in cover never reaches the floor unseen.

04

Publish in seconds

Send the week out to workers and the kiosk in one action — every shift becomes an expected clock-in.

Shift templates

Early 06:00 – 14:00
Late 14:00 – 22:00
Night 22:00 – 06:00

Set breaks once and they are confirmed at clock-out, keeping Working Time records accurate without manual entry.

03Coverage

Hear about a gap before the client does

Because the schedule and the clock-ins are the same record, the system knows when a scheduled shift has no-one on it — and tells the right manager straight away.

04FAQ

Scheduling, answered plainly

Do rotas connect to clock-ins, or is scheduling separate?
They are connected. A published shift becomes the expected clock-in for that worker. When they clock in, the actual time is reconciled against the rota, so lateness, no-shows and unplanned hours are flagged automatically against a planned baseline — not guessed at afterwards.
How quickly can I build a week?
In minutes. Build Early, Late and Night templates once, then drop them onto the grid or copy a previous week forward. You publish a whole week in seconds, and gaps in cover are flagged before the shift starts rather than discovered when nobody turns up.
Can it schedule across multiple sites?
Yes. Build and publish rotas per site, and see coverage across every site in one view. A worker assigned to the wrong site or double-booked is surfaced before the rota goes out.
How do workers see their shifts?
Published shifts are visible to each worker, and the same schedule drives the kiosk so the clock-in expects them. There is nothing for a worker to install to know when and where they are working.
What happens when someone does not turn up for a scheduled shift?
Because the shift is the expected clock-in, a no-show is detected automatically once the start time passes with no clock-in. The right manager is alerted by email and in-app, so cover can be arranged before the client notices.
Do scheduled hours flow through to pay?
The actual clocked hours flow to the timesheet and then to pay and charge, with the rota as the planned baseline they are measured against. You always pay verified hours, while the schedule tells you whether the day went to plan.

See how the whole flow connects on the how it works page.
