E-signing agreements

Sign workers onand seal every contract.

E-signature software built into your clock-in system — not a bolt-on. Send contracts and handbooks, capture signatures, then seal each document with SHA-256 so you can prove it byte for byte.

01The seal

A signature you can prove byte for byte

Capturing a signature is the easy part. The hard part is proving, months later, that the document nobody can find a paper copy of is exactly the one that was signed.

Sealed on signing

The moment a worker signs, the completed document is hashed with SHA-256 and the digest is stored alongside the audit trail.

Someone changes the pay rate on the contract after it was signed. The recomputed digest no longer matches the stored seal.

The same record feeds a one-click GDPR subject-access export, so everything held on a worker can be produced on request.

02Built in, not bolt-on

One platform — no second subscription

Most agencies bolt a standalone e-signing tool onto everything else. TempClock keeps signing on the same record as the clock-ins it relates to.

A bolt-on tool
  • A separate subscription, billed per envelope as your volume grows.
  • A second login and a second supplier for your team to manage.
  • Signed PDFs live somewhere other than the worker record.
  • Re-keying worker details into a different system to send a contract.
  • Your data spread across another vendor's jurisdiction.
Built into TempClock
  • Included in your plan — no per-envelope fee, ever.
  • One login for clock-ins, timesheets and agreements.
  • Signed documents attach to the worker record automatically.
  • Templates merge worker details, so a contract sends in seconds.
  • UK-hosted on the same infrastructure as everything else.
03How it works

From template to sealed in four steps

Build a template once, then send it to any worker with their details already filled in. Everything after that runs itself.

01

Build a template

Lay out a contract, handbook or declaration once, with merge fields for the worker's name, role and rates.

02

Send in seconds

Pick a worker and send. Their details populate from the record, so there is nothing to re-key.

03

Worker signs

They open the link on any device, read the document and sign with a finger or trackpad. The timestamp and IP are captured.

04

Sealed and filed

The document is sealed with SHA-256, attached to the worker record and ready for an audit.

04FAQ

E-signing, answered plainly

Is e-signing built in, or a separate add-on?
It is built in. Templates, sending, signing, counter-signing and sealing all live inside TempClock, on the same UK-hosted platform as your clock-ins and timesheets. There is no separate subscription, no per-envelope fee and no second login for your team to manage.
Are TempClock e-signatures legally valid in the UK?
Yes. Electronic signatures are recognised under the Electronic Communications Act 2000 and UK eIDAS. Each signature is captured with a timestamp and the signer's IP address, and the completed document is sealed with a SHA-256 digest so you can prove it has not changed since signing.
What can I send for signature?
Worker contracts, assignment confirmations, handbooks, right-to-work declarations, opt-out forms and any other document your desk relies on. You build reusable templates with merge fields, so a contract is populated from the worker record and ready to send in seconds.
How do I know a signed document has not been altered?
Every sealed document carries a SHA-256 digest. Re-hash the file at any time and compare it to the stored seal. If a single character has changed, the digest will not match and the seal reads as broken — so a contract edited after signing cannot pass as the original.
What happens if a worker does not sign?
You see the live status of every document — sent, viewed, signed or sealed. Automatic reminders chase unsigned documents on a schedule you set, and you can resend or cancel from the dashboard. Nothing is left to a manual follow-up that never happens.
Can workers sign on their phone?
Yes. The signing page works in any mobile browser — there is nothing to install. A worker opens the link, reads the document, signs with a finger or trackpad and submits. The whole flow is built mobile-first.
